MANDATORY CRITERIA
Every applicant must meet all of the following criteria before verified supplier approval. Only approved suppliers are published in the directory.
- Legal registration – a legally registered business entity with valid registration documents.
- Valid organic certification – a mandatory admission requirement; certificates must be current and verifiable.
- Good Agricultural Practices (GAP) – documented, responsible cultivation and handling practices.
- Environmental, Social and Governance (ESG) – sustainable production, fair labour and responsible governance.
- Product quality – consistent quality standards supported by testing and specifications.
- Traceability – verifiable records from origin through processing to export.

COMPLIANCE & VERIFICATION
Continuous Compliance
Verification does not end at approval. Approved suppliers must maintain legal registration, valid organic certification, GAP, ESG, product quality and traceability standards for as long as they remain listed.
- Certificate expiry: suppliers must upload renewed certificates before expiry. Status changes to Renewal Required as expiry approaches.
- Suspension: expired, withdrawn or invalid certification, or any compliance breach, may lead to immediate suspension.
- Approved-only directory: suspended, rejected, pending or unverified suppliers are never shown as approved.
- Periodic review: FPI may ask for more documents or carry out compliance checks at any time.

Is organic certification mandatory?
Yes. Valid organic certification is a mandatory admission requirement. NO VALID ORGANIC CERTIFICATION. NO VERIFIED SUPPLIER APPROVAL.
Does payment guarantee approval?
No. Payment of the USD registration fee does not guarantee approval, directory inclusion or buyer engagement. Registration fees are administrator-controlled and subject to FPI confirmation before launch.
How do I track my application?
Each application receives a unique reference, payment receipt and email notifications. You can save and return at any time. Statuses: Application Started, Submitted – Awaiting Payment, Payment Confirmed, Documents Under Review, Additional Information Required, Compliance Verification, Approved, Rejected, Suspended, Renewal Required.
What happens when my certificate expires?
Compliance is continuous. Expired or lapsed certificates trigger Renewal Required status and may lead to suspension. Only approved suppliers appear in the directory; unverified suppliers are never published as approved.
Terms of Trade
Registration and acceptance on the Botanical Market Finder do not guarantee purchase orders, contracts, exports or sales. Suppliers must maintain legal registration, valid organic certification, GAP, ESG, product quality and traceability standards. FPI may suspend or remove any supplier that fails continuous compliance requirements.
Privacy Policy
Information and documents submitted are used solely for application assessment, compliance verification, payment processing via DPO Pay and buyer-supplier linkage. Data is handled confidentially and shared with buyers only for approved suppliers.
